Special Conditions of Hire December 2021 (COVID-19)
Note: These conditions are supplemental to, not a replacement for, the hall’s ordinary conditions of hire.
1. People should stay at home if unwell.
2. Those who have recently had COVID-19 should not attend the hall until either a week has passed and they no longer have a temperature or they have two negative lateral flow tests on days 5 and 6. They should inform their close contacts and avoid contact with anyone in an at risk group. Contacts of people with COVID-19 are asked to take extra care, following general guidance on safer behaviours. Routine contact tracing ended on 24th February.
3. Let fresh air in if meeting indoors. Opening a window for ten minutes helps. (This has also been shown to reduce risk of catching other airborne diseases such as flu).
4. Continue to wear a face covering in crowded and enclosed spaces, especially where you may come into contact with other people you do not normally meet and when rates of transmission are high.
5. Clean your hands often, avoid touching your face, nose or eyes. “Catch it, bin it, Kill it”.
6. Maintain social distancing as far as possible from anyone you do not have regular contact with. Respect the fact that others may wish to take a more cautious approach.
7. If a more crowded event is likely to take place, eg a wedding reception with dancing, hirers can be encouraged to ask everyone to take a lateral flow test beforehand, as recommended in the “How to Stay Safe” guidance.

Standard Conditions of Hire
For the purpose of these conditions the term hirer means the individual hirer or the authorised representative of an organisation hiring the building. By paying the hire charge you are committing to all the following conditions of hire:

For the purpose of these conditions the term hirer means the individual hirer or the authorised representative of an organisation hiring the building. By paying the hire charge you are committing to all the following conditions of hire:
- The HIRER will during the period of the hiring be responsible for the supervision of the premises, the fabric and their care, safety from damage however slight or change of any sort and the behaviour of all persons using the premises whatever their capacity. This includes proper supervision of the car parking arrangements in the car park and on the road so as to avoid obstruction of the highway and danger to pedestrians.
- The HIRER or session leaders are the “responsible person “ in relation to fires and other emergencies and should familiarise themselves with the Safety guidance and Emergency plan which is displayed on the notice board and on the website. They should also ensure that all emergency exits are clear and unlocked throughout the hire.
- The HIRER will ensure that all safety notices are complied with during the hire period. This includes the safe use of ladders. Use the trolleys provided to move heavy and bulky items.
- The HIRER must ensure that any activities for children and vulnerable adults comply with the Safeguarding Regulations. The local Safeguarding policy can be viewed on the hall notice board.
- The HIRER will indemnify the committee for the cost of repair of any damage done to any part of the property or the contents of the building which occur whilst they are hiring the hall or as a result of their hiring of the hall
- The HIRER shall not sub-let or use the premises for any unlawful purpose or in any unlawful way. Nor should they bring on to the premises anything which may endanger the premises or any insurance cover
- The HIRER is responsible for obtaining a license for the sale of alcohol (a Temporary event license) and no alcohol may be sold without such a license.
- The HIRER shall ensure that nothing is done on or in relation to the premises in contravention of the law relating to gaming betting and lotteries.
- The HIRER shall, if servicing or selling food, observe all relevant food health and hygiene legislation and regulations. Please note there is not a fridge.
- The HIRER shall ensure that any electrical appliance brought by them to the premises and used there is in good working order, is Portable Appliance tested and is used in a safe manner.
- If the HIRER cancels the booking less than 24 hours before the event they will be liable for the full hire charge.
- The committee reserve the right to cancel a booking if the hall is needed as a Polling station or for civil emergency. Any monies paid will be refunded in these circumstances.
- The HIRER will ensure that the minimum of noise is made on arrival and departure
- The HIRER must report all accidents involving injury to the public to the Chair of the committee or the Bookings Secretary. Any failure of equipment either that belonging to the Hall or brought in by the hirer must also be reported as soon as possible. Certain types of accident or injury must be reported on a special from to the local authority. The Bookings Secretary will give assistance in completing this form. This is in accordance with the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations (RIDDOR)1995.
- The HIRER will ensure that no dogs except impaired sight/hearing dogs are brought into the hall without the permission of the Committee.
- At the end of the hire period the HIRER is responsible for leaving the premises and surrounds in a clean and tidy condition, properly locked and secured unless directed otherwise. Any items temporarily removed from their usual positions should be properly replaced, otherwise the committee shall be at liberty to make an additional charge.
- The HIRER must remove all rubbish, bottles and the like resulting from the hiring. Failure to do so may result in a surcharge. Unsold items from sales are not to be stored in the hall.
- If the hall is unfit for use the committee are not liable to the hirer for any resulting loss or damage.
- The committee reserves the right to refuse a booking without notice or to cancel the hiring agreement at any time before or during the term of the agreement upon giving 7 days notice to the hirer. Any rental paid in advance will be refunded.
- In the event of a last minute cancellation by the hirer the committee reserves the right to charge the full hire charge.
